(hereinafter referred to as “we”) is the controller within the meaning of the EU General Data Protection Regulation (“GDPR”).

Purposes and legal basis of data processing
We process your personal data in compliance with the EU General Data Protection Regulation (GDPR), the Federal Data Protection Act (BDSG), the data protection provisions of the Insurance Contract Act (VVG) and all other relevant laws.
During the registration process, we received your personal data (including your name, contact address and email address) directly from you or your employer. We require this data in order to be able to run the event properly. The legal basis for this is Art. 6 (1) (b) GDPR.
Photos and videos will be taken to document the event visually. It cannot be ruled out that you may be directly or indirectly identifiable in the recordings, in which case this constitutes personal data. The recordings will be used for news items directly related to the event and for internal reporting by Newline Europe Versicherung AG.
In addition, the recordings will be published for reporting on our media channels such as LinkedIn or our website. This processing is particularly necessary to document and promote our event . The legal basis is Art. 6 (1) (f) GDPR.
We may make participant lists available to participants at events, showing the names and companies of the participants, and distribute name badges. The legal basis is legitimate interest pursuant to Art. 6 (1) (f) GDPR. The aim is to enable participants to exchange contact details and establish personal contact with each other.
If necessary, we will obtain your consent.
We also process this data to protect our legitimate interests or those of third parties (Art. 6(1)(f) GDPR). This may be necessary in particular:
- to ensure IT security and IT operations,
- to advertise our own insurance products and other products of the group of companies.
Data processing within the group of companies
Specialised companies or divisions of our group of companies (Newline Group and Odyssey Group) perform certain data processing tasks centrally for the companies affiliated with the group. If you have an insurance contract with one or more companies in our group, your data may be processed centrally by a company in the group for purposes such as the central management of address data, telephone customer service, contract and benefit processing, collection and disbursement, or joint mail processing.
External service providers
We use external service providers in part to fulfil our contractual and legal obligations. We will be happy to provide you with a list of the contractors and service providers we use with whom we have more than just temporary business relationships upon request.
Data transfer to a third country
If, after 25 May 2018, we transfer data to service providers or group companies outside the European Economic Area (EEA), the transfer will only take place if the third country has been confirmed by the EU Commission as having an adequate level of data protection or if other appropriate data protection guarantees (e.g. EU standard contractual clauses) are in place. You can request these at one of the above contact addresses.
Duration of data storage
We store your data for as long as it is necessary for the above-mentioned purposes. In doing so, personal data may be stored for the period during which claims can be asserted against our company (e.g. statutory limitation period of three or up to thirty years). We also store your personal data to the extent that we are legally obliged to do so. Corresponding documentation and retention obligations arise from, among other things, the German Commercial Code, the German Fiscal Code and the German Money Laundering Act. The storage periods are up to ten years.
Rights of data subjects
You can request information about the data stored about you at the above addresses. In addition, under certain circumstances, you may request the correction or deletion of your data. You may also have the right to restrict the processing of your data and the right to have the data you have provided released in a structured, commonly used and machine-readable format. If we have obtained your consent, you can revoke it at any time for the future.
Right to object
You have the right to object to the processing of your personal data for direct marketing purposes.
If we process your data to protect legitimate interests, you may object to this processing if there are reasons arising from your particular situation that speak against data processing.
Right to lodge a complaint
